Refund, Cancellation & Payment Policy
Overview By enrolling in a program, purchasing a service or digital product, scheduling a coaching engagement, or submitting payment through this website, participants acknowledge and agree to the following Refund, Cancellation & Payment Policy. This Policy is intended to provide clarity regarding enrollment commitments, payment responsibilities, scheduling expectations, cancellation procedures, and refund eligibility associated with Dr. Cara's programs, coaching services, workshops, speaking engagements, educational experiences, AI-supported tools, and related offerings.
Cohort Programs & Refund Eligibility Cohort-based programs, including the GroundID Leader cohort and similar immersive educational experiences, are intentionally structured as high-engagement leadership-development programs requiring active participation and reserved program capacity. Participants may qualify for a refund of Month 1 payments only if the participant: (i) attends Sessions 1 and 2 in substantially full participation; (ii) submits a written withdrawal request within seven (7) calendar days following Session 2; and (iii) otherwise remains in compliance with applicable enrollment terms and payment obligations. Attendance requires meaningful participation for substantially the entirety of each applicable session. Replay viewing, partial attendance, or abbreviated participation may not satisfy attendance requirements for refund eligibility purposes. Withdrawal requests submitted outside the applicable seven (7) day window are not eligible for refund consideration. Approved refunds are limited solely to Month 1 payments. Months 2 and 3 become fully non-refundable once the applicable withdrawal period expires. Non-recoverable third-party processing fees, payment platform expenses, administrative fees, and similar transactional costs may be deducted from any approved refund. Submission of a withdrawal request does not automatically guarantee eligibility. Refund determinations remain subject to verification of attendance, timing, payment status, participation requirements, and compliance with this Policy. Approved refunds are generally processed within ten (10) to fourteen (14) business days.
Installment Plans & Payment Obligations Participants enrolling through installment plans or recurring-payment arrangements remain financially responsible for all scheduled payments through Month 3 unless the participant qualifies for and receives approval under the applicable Month 1 withdrawal window described above. Enrollment in a payment plan constitutes authorization for recurring installment charges in accordance with the selected payment schedule unless otherwise prohibited by law. Failure to continue participation in a program does not cancel, waive, or reduce outstanding payment obligations. Participants agree not to initiate improper or unwarranted chargebacks for services, sessions, program access, materials, or digital content already delivered or made available.
Deposits All deposits are non-refundable. Deposits are credited toward the final invoice balance or applicable program cost unless otherwise stated in writing. Because deposits reserve program capacity, scheduling availability, preparation time, or engagement resources, deposits are non-refundable under all circumstances unless expressly provided otherwise within a signed written agreement.
1:1 Coaching Sessions Individual coaching sessions become non-refundable once the scheduled session has occurred. Participants seeking to cancel or reschedule a coaching session must provide at least forty-eight (48) hours' advance written notice. The first reschedule request during an active coaching engagement will be accommodated without additional charge, subject to scheduling availability. Additional rescheduling requests may incur a $50 administrative rescheduling fee. Failure to attend a scheduled session without proper notice constitutes a no-show. No-show sessions are forfeited and are not eligible for refund, credit, or rescheduling. Coaching engagements, session credits, and program participation are non-transferable unless otherwise approved in writing.
Workshops & Speaking Engagements Workshops, retreats, keynote presentations, corporate trainings, speaking engagements, and related services are governed by the applicable signed services agreement executed between the parties. Unless otherwise stated within a signed written agreement, all deposits are non-refundable and remaining balances are due no later than seven (7) calendar days before the scheduled event date. Confirmed engagement dates, workshop participation, and speaking reservations remain contingent upon timely satisfaction of all payment obligations.
Digital Products & Educational Materials Digital products, downloadable resources, templates, recordings, educational materials, AI-supported tools, guides, and related digital content are non-refundable once accessed, viewed, streamed, downloaded, delivered, or otherwise made available to the purchaser. Due to the immediate-access and proprietary nature of digital content, no refunds, exchanges, transfers, or credits will be issued following delivery or access.
Reservation of Rights Dr. Cara and affiliated entities reserve the right to deny, suspend, remove, or terminate participation for violations of program policies, disruptive conduct, misuse of materials, non-payment, inappropriate behavior, or other conduct inconsistent with the integrity of the program experience. Removal or suspension from a program does not automatically relieve outstanding payment obligations. Dr. Cara additionally reserves the right to modify program scheduling, delivery format, session timing, facilitators, technology platforms, or operational logistics when reasonably necessary to support the quality, continuity, or administration of the experience.
Force Majeure & Scheduling Limitations Dr. Cara and affiliated entities shall not be responsible for delays, interruptions, rescheduling, or inability to perform resulting from circumstances beyond reasonable control, including but not limited to illness, emergencies, technology failures, internet outages, platform disruptions, travel interruptions, governmental actions, severe weather events, labor shortages, or other force majeure events. In such circumstances, reasonable efforts will be made to reschedule or otherwise continue the applicable engagement or program.
Policy Updates This Policy may be revised or updated periodically to reflect operational, legal, or business changes. The version in effect at the time of enrollment, purchase, or payment shall govern the applicable transaction unless otherwise required by law.
Refund & Withdrawal Requests All withdrawal, cancellation, refund, or rescheduling requests must be submitted in writing through the designated contact information provided within enrollment materials, engagement agreements, official communications, or the website. Requests should include the participant's name, applicable program or service, date of enrollment or purchase, and basis for the request. Requests are deemed submitted only upon confirmed receipt.
